How to Plan a Hotel FF&E Installation Schedule
Plan the installation backwards from the opening date. Fix the handover date, subtract installation, snagging and a defined buffer, then derive the latest ship date and the latest production-start date from that. Publish the result as a milestone schedule with owners and dependencies, sequence installation by zone rather than by item, and name your float instead of hiding it.
What does an FF&E installation schedule have to do?
A schedule is not a list of tasks. In FF&E delivery it has four jobs, and it fails if any one of them is missing.
- It fixes the sequence, so that goods arrive in the order the building can accept them.
- It assigns ownership, so every milestone has a named party rather than a contractor group.
- It exposes dependencies, particularly between finishes, joinery, loose FF&E and building services.
- It carries float, so one delay does not cascade into the opening date.
Most FF&E problems are not installation problems. They are loading problems: too much product arriving on a site that is ready for a fraction of it.
How do you work backwards from the opening date?
Backwards planning is the only method that produces a schedule a supplier can actually work to.
- Write the opening date and the owner handover date. These are fixed and non-negotiable.
- Subtract the closeout allowance: snagging, punch list and the final styling period.
- Subtract the installation window, expressed as working zones per week rather than a single total.
- Subtract the on-site storage limit. If the site can hold goods for two weeks, the ship dates must reflect that.
- Subtract shipping, discharge, customs clearance and inland transit, using the longer of your historical transit time and your forwarder’s estimate.
- Subtract production and pre-shipment inspection, then the sampling and drawing approval period before that.
- Compare the resulting latest production start against today’s date. The gap is either your float or your problem.
If step seven produces a negative number, the schedule is not tight; it is unachievable, and it is better to say so in month one than in month nine.

Which workstreams run in parallel, and where do they collide?
Parallel work is where the schedule earns its money, and where the collisions happen.

The last row is the one most often missed. In a building with a single service lift, installation capacity is set by lift time, not by labour. Booking the lift becomes a scheduling activity in its own right.
How do you sequence floors and room types on site?
Sequence by zone, complete each zone, and close it.
- Install sample rooms first. Two or three rooms of each dominant type, fully styled, then inspected and signed off by the designer. Everything after that is measured against them.
- Work outward from the core. Corridors and lift lobbies stay clear longest, so start at the far end of a floor and work back toward access.
- Finish a floor before starting the next. Half-finished floors take longer overall and make counts unreliable.
- Handle special rooms separately. Suites and public areas have different sequences, different trades and usually a longer snag list. Give them their own slot rather than folding them into the floor programme.
- Keep a protected corridor. One route reserved for deliveries prevents stored goods blocking the zone being installed.

A supplier who receives an installation sequence can allocate piece counts to rooms and dispatch in that order. A supplier who receives one total quantity sends one total shipment, and you store it.
How do you build float around shipping and customs?
Name the float in the schedule, and hold it at the point where delays actually occur.
- Stagger bookings rather than shipping in a single wave. Three bookings absorb a port delay; one booking transmits it.
- Keep a buffer at the receiving end, not the factory end. Factory lead times are usually more predictable than terminal and clearance times.
- Clear documents before arrival. Retrospective paperwork is the most common reason goods sit at a terminal while the site waits.
- Confirm lift access before every delivery wave, including whether the lift certificate is current.
- Replan weekly, not monthly. A schedule reviewed monthly is a report; reviewed weekly, it is a control.
Customs and import requirements depend on your destination market and your own registrations. Confirm with your broker or legal advisor the documentation and duty position for your specific project, and check that the packing list, invoice and label formats match what your clearance agent needs.
What causes most FF&E slippage?
The causes repeat across projects, and they are mostly organisational.
- Specification changes after production slots are confirmed, which pushes the whole sequence.
- Single-wave shipping, so one delay becomes a total delay.
- Deliveries arriving before floor protection is in place.
- Installation sequenced by item type rather than by zone, leaving many rooms partially complete.
- No lift booking system, so installation capacity is set by congestion.
- Snagging deferred to the end, when access and attribution are worst.
- No named owner for receiving, so drivers wait and storage fills up.
- Float consumed early by a trade with no visibility of the opening date.

Closeout should be treated as a scheduled workstream with its own milestones, not as the loose end of the programme.
